That is the verdict from [Backlinko and Pitchbox's study of 12 million outreach emails](https://backlinko.com/email-outreach-study). Only 8.5% received any response. Newer cold email data looks worse, not better.

Yet the stakes of a good outreach email have gone up. AI engines lean hard on "best X" roundups when they recommend products. Getting onto those lists is now a visibility problem, not only a backlink problem.

## Why Outreach Emails Matter More In AI Search

Outreach emails now influence whether AI engines recommend your brand. ChatGPT and Google AI Overviews pull heavily from "best X" roundup posts. Those roundups are written by people you can email. One accepted pitch can put you in a source AI answers quote for months.

Position matters too. Ahrefs found brands ranked higher on those lists were more likely to be recommended. Freshness matters as well: 79.1% of 1,100 cited lists had been updated in 2025.

**Every roundup that lists you is a vote AI engines can read.** Ahrefs' analysis of 75,000 brands found branded web mentions correlate at 0.664 with AI visibility. Backlinks scored only 0.218.

One caveat cuts the other way. Ahrefs also found 35% of cited lists sat on low-authority domains. Relevance beats domain rating when you choose targets.

To write an outreach email, find a page worth pitching and the person who edits it. Write a specific subject line. Open with their problem, show your fit, and offer something back. Close with one small ask and a human signature. Each step below includes the data behind it.

### Step 1: Find A Page Worth Pitching

Start with roundups that already rank or get cited by AI engines. Then look for a hook: a discontinued product, a broken link, or a stale fact.

Check the "last updated" date too. Ahrefs found 26% of cited lists were updated within two months. Active editors are more likely to edit again.

The author is not always the right contact. Many company blogs use freelance writers who cannot edit published posts.

On a recent pitch, the author worked for another magazine. The site's legal notice named the person responsible for content instead. European sites must publish this "imprint" page, so check it first.

Backlinko found contacting several people at one company lifted replies by 93%. Returns faded beyond five contacts. Email one person first, then try the next if you hear nothing.

Your first sentence should be about their page. Skip "My name is" and "I hope you're well."

Backlinko found personalized email bodies earned 32.7% more replies. A real detail from their post proves you read it.

Mirror the criteria their article already uses. If the post praises free tools, lead with your free tier. If it has a privacy section, lead with privacy.

Two or three points are enough. The editor wants to see your product slot in without a rewrite.

The best outreach email subject lines are specific and 36 to 50 characters long. Backlinko's outreach data found long subject lines beat short ones on replies. Personalized subject lines added another 30.5%. Name the post, the problem, or the offer so the recipient knows what is inside.

Here is a conflict worth flagging. Boomerang's email data favored subject lines of three to four words. But Boomerang studied everyday email, not cold outreach.

**For outreach, trust the outreach dataset: specific beats short.** Backlinko's own summary puts the long subject line lift at 24.6%. Its detailed section says 32.7%. Either way, the direction is clear.

## How Long Should An Outreach Email Be?

An outreach email should be 50 to 125 words long. Boomerang analyzed over 40 million emails and found this range got response rates above 50%. Responses slipped to about 44% at 500 words. Short sentences and plain words also lifted replies sharply in the same study.

Reading level mattered even more. In [Boomerang's study](https://blog.boomerangapp.com/2016/02/7-tips-for-getting-more-responses-to-your-emails-with-data/), emails at a third-grade level got a 53% response rate. College-level emails got 39%.

Two caveats apply. Boomerang's data is from 2016, and it covers all email, not cold pitches. Instantly's 2026 guidance points even shorter, recommending cold emails under 80 words.

**Aim for 80 to 125 words, and cut anything the editor can skip.** Seeing a full email makes this concrete.

**The Fix line is useful to the editor even if they reject the pitch.** That goodwill is what keeps them reading to the offer.

Timing matters far less. Backlinko found Wednesday slightly best and Saturday worst. Weekday emails beat weekend emails by 23.3%.

Topic matters too. Pitches about guest posts, roundups, and links earned above-average replies. Infographic pitches did poorly.

**Effort beats timing: who you email and how often matters more than when.** Of course, none of this helps if your email never reaches the inbox.

## Outreach Email Mistakes That Kill Replies

The costliest outreach email mistake is landing in spam. Google's sender guidelines require all senders to authenticate with SPF or DKIM. They also ask senders to keep spam rates below 0.10% and never reach 0.30%. A few annoyed recipients can push a small sender over that line fast.

Send outreach from a real, warmed-up mailbox on your company domain. Check your domain's authentication before your first campaign. [Google's email sender guidelines](https://support.google.com/a/answer/81126) list every requirement.

**One spam complaint costs more than ten unanswered emails.** Beyond deliverability, avoid these common errors:

**Stacking asks.** A link, a share, and a guest post in one email feels greedy.
